Why contractors miss calls (and why voicemail doesn’t fix it)
Contractors miss calls for physical reasons. You’re on a ladder, in a crawlspace, running a saw or driving. Both Rosie and Upfirst cite the same figure on their contractor pages: about 80% of callers won’t leave a voicemail. That’s their number, not ours, but anyone who has called three plumbers about a burst pipe knows how it goes. The first one who answers usually gets the job.
An AI receptionist fixes the gap between the phone ringing and you calling back. It doesn’t replace your office manager or dispatcher. For a one- to five-truck shop, it covers the hours when nobody can pick up.
What a contractor actually needs it to do
Not every feature on a vendor’s page matters to a contractor. These are the ones that do, in order:
- Emergency triage and transfer. It should ask a couple of questions (“Is water actively leaking?”, “Is anyone without heat?”) and ring the on-call phone right away for real emergencies. Everything else gets a message. Upfirst has this on every plan. Rosie has warm and live transfers from Scale. My AI Front Desk and Smith.ai offer rule-based transfers.
- Job intake. Name, callback number, service address, type of work, urgency, and how the caller found you. Every tool here lets you set which questions to ask.
- Booking or booking links. Book estimates and service calls straight onto your calendar, or text the caller a link. Upfirst books into Google, Outlook, Acuity, Calendly and Square. Rosie texts booking links on Professional and books in-call from Scale. My AI Front Desk books into Google Calendar, Outlook and Calendly.
- A hand-off to your job software. If you run Jobber or Housecall Pro, check how leads get from the receptionist into it. Upfirst’s HVAC and contractor pages name ServiceTitan, Housecall Pro and Jobber through Zapier. My AI Front Desk lists direct CRM sync with HubSpot, Salesforce, Pipedrive and GoHighLevel, plus Zapier.
- Overflow and after-hours modes. You should be able to forward only the calls you miss, or only nights and weekends, so you keep answering when you can. Upfirst has these modes built in. The others work with your carrier’s conditional forwarding.
- Spam filtering. Contractors get a lot of robocalls. Upfirst doesn’t bill spam or calls under 15 seconds, Rosie and Ruby filter robocalls, and Smith.ai pre-filters known spammers but counts answered spam (with up to 10% removable each cycle).

Upfirst for contractors
Upfirst has trade pages for contractors, HVAC and plumbing, and its plans don’t lock contractor features behind a higher tier. Starter ($24.95 for 30 calls) includes booking, warm transfers, texting during the call, spam blocking and Zapier. Most contractors with a steady phone will end up on Premium ($59.95 for 90 calls) or Pro ($159.95 for 300 calls). Pro adds white-glove onboarding and custom integrations.
According to Upfirst, setup takes less than 30 minutes. It trains from your website, you add transfer rules, and you forward your line. After every call it texts or emails you a summary with a link to the recording, and you can limit alerts to emergencies. Full details are in our Upfirst review.
Rosie for contractors
Rosie’s construction page covers what contractors ask about:
- Screening leads by scope, budget and timeline.
- Flagging emergencies and notifying you by text or email.
- Noting job-site conditions.
- Answering several calls at once.
One limit: Rosie says it gives pricing estimates only on Growth ($299). Lower plans can share general pricing you add to its FAQs.
Billing is by the minute, rounded up to 60 seconds. If you run over, Rosie’s terms move you to the next plan. That suits short “do you service my area?” calls better than long project conversations. See Rosie vs Goodcall for more.
My AI Front Desk for contractors
My AI Front Desk is the most all-in-one option. One plan covers phone, web chat, texting, email and a built-in CRM, and it can make up to 20 outbound calls a day. That helps if you want missed web leads followed up as well as calls.
The trade-off is the allowance. 200 voice minutes is about 65 three-minute calls. Extra minutes cost $0.25. Most of the vendor’s case studies are property management, not field trades. Read the My AI Front Desk review.
When a human service is worth it
If you sell $10,000+ jobs like remodels, roofs or full system replacements, the first conversation sets the tone. Ruby’s live receptionists cost $250 to $1,725 a month for 50 to 500 minutes, with scheduling, bilingual answering and payment collection on every plan.
Smith.ai splits the difference. Its AI plans (Free, or Pro from $150 for 75 calls) can hand calls to its North America-based staff. Ask what that live time costs before you count on it, because the AI pricing page doesn’t list a rate.
Setup checklist for a contractor
- Write the emergency rule in one sentence. For example: “Active water leak, no heat below 40°F outside, sparking or burning smell: transfer to on-call.”
- List your intake questions. Keep it to 5 or 6: name, number, address, job type, urgency, and how they found you.
- Add your service area and what you don’t do, so the receptionist can turn away jobs politely.
- Turn on conditional forwarding for missed and after-hours calls only, at least for the first two weeks.
- Connect your calendar, or use booking links if you’d rather confirm each job yourself.
- Run five test calls as a customer, including one real emergency scenario, and read the summaries.
- Check the bill after week one against your plan’s call or minute allowance.
Trade-specific versions: plumbers, HVAC, electricians, and cleaning businesses. Landscapers juggling crews should also read best scheduling software for landscaping. For costs, see how much an AI receptionist costs.
FAQ
Can an AI receptionist give estimates? Only what you give it. Upfirst says it can learn your pricing or how you quote. Rosie gives pricing estimates on Growth and general pricing from FAQs on other plans. For real quotes, see AI estimating software for contractors.
Will it dispatch my techs? These tools route and transfer calls and notify people. They don’t assign jobs in your field software, so dispatch still happens in Jobber, Housecall Pro or ServiceTitan.
Do I have to change my number? No. All five let you forward your existing number.
